The Silicon Review
“CopytalkerTM is aptly named: Just talk naturally. Copytalk will transcribe the freeform dictation in whatever customized format the enterprise requires for integration into its digital workflows.”
Copytalk is a leading transcription service engineered to meet rigorous standards of accuracy and privacy in recording dictated meeting notes and the preparation and delivery of transcriptions. With a proposition that sits at the core of Copytalk’s business model: All transcriptions are prepared by live, U.S. based transcriptionists working at locked-down workstations. Transcriptionists work only on Copytalk-issued computers where a subset work within one of Copytalk’s securely managed facilities and some working remotely. These strict protocols, rare in the industry, ensure security, privacy, and quality control.
Copytalk was founded in 2001 and is headquartered in Sarasota, Florida.
Maree Moscati, CEO of Copytalk, spoke to The Silicon Review about how her company-built solutions are putting the human touch back into transcription.
Copytalk | Synopsis
Copytalk: Trusted by Millions
Copytalk was born as a general-use mobile dictation solution that naturally took root in the advisor sector, where its ease and speed not only increased productivity but had the side effect of improving compliance. Given that synergy, the company quickly recognized the absence of secure processes for mobile dictation in heavily-regulated industries and rose to meet that need. Copytalk makes it easy to document notes and adhere to compliance rules and regulations, especially in the Financial Services Industry, where PHI & PII are critical components. It allows its clients to be efficient, be more effective in documenting the ‘why,’ and feel confident that the security and privacy protocols are second to none in the industry. It sets the standards for adherence to compliance mandates.
Copytalk is the only transcription service specially-managed and engineered to meet the financial-service industry’s uniquely rigorous standard of accuracy and privacy in transcribing dictated client meeting notes.
Leveraging Services that are Second to None
Copytalk’s services meet the broad need for documentation. Mobile Scribe™ records and transcribes dictation on the go; Digiscribe transcribes everything from meeting notes to uploaded media, including audio and video; Enterprise records and transcribes notes from conferences, meetings, and committees on an enterprise paid basis for their employees; and Copytalker™ Fintech Integration embeds Copytalk services into dashboards, platforms, or CRM’s.
“Copytalk is unique in that we offer unlimited dictation for a flat monthly fee. Since the inception of our Mobile Scribe product, we’ve striven to break down barriers to documenting and capturing information. Offering an unlimited use plan is just one more way we attempt to lead the industry for financial services transcription. Additionally, we are the only mobile transcription firm to be a long-standing member of The Shared Assessments Organization who sets the standards in third-party vendor risk management,” said Maree Moscati. In fact, Ms. Moscati sits on their Advisory Board and holds the coveted designation of Certified Third-Party Risk Professional (CTPRP).
Copytalk’s core solution is primarily based on established technologies that are demonstrably compatible with the security requirements in the financial services industry. “We adopt new projects and technologies with a risk-based methodology that flows throughout the entire system development life cycle. Copytalk also integrates stakeholder feedback so that client-centric concerns drive our solutions,” added Maree Moscati.
Meeting the Unique Needs of the Customers
Maree Moscati brings her perspective as an advisor to product roadmap discussions. Her ties to the industry helps give Copytalk additional credibility when the company is reaching out to advisors for feedback and input on new product initiatives.
“We believe there are always opportunities to improve documentation. Copytalk offers our services over the phone, through our mobile applications, and as embedded web control. Many of our customers utilize the service for free form dictation, but we also offer the opportunity to complete forms or deliver structured data to customers’ back-end systems or third-party software. The surprise is the degree to which voice data is still underutilized as an efficient way to help organizations capture information,” extols Maree Moscati.
The Road Ahead
“We have launched our patent-pending Copytalker™ - It is an API that can rest within a CRM, an advisor workstation or dashboard or within a Fintech platform. The Copytalker provides enterprises a seamless user experience of voice-controlled note taking and form completion. Copytalker™ is aptly named: Just talk naturally. Copytalk will transcribe the freeform dictation in whatever customized format the enterprise requires for integration into its digital workflows,” said Maree Moscati.
The CEO further emphasized, “We’ll adapt to accommodate any platform enterprises are using to manage their books of business. Meaning not only are we creating basic transcripts of recorded audio, but our system can intelligently handle the content within these transcripts and automatically update other systems in your workflow with the pertinent information. For example: When creating a transcript, Copytalk can automatically update a contact within a CRM.”
As their newest innovation, Copytalk is launching the Dictation Guides feature in the Copytalk+ app, which helps subscribers customize their user experience to make sure they will always remember the key points to hit each meeting, whether they always need the same information or have different needs for different meetings and clients. Instead of generic lists, Dictation Guides allow users to add Objectives with the language that best helps them remember what information is vital for their practice. They can tailor Dictation Guides for their unique working style.
